Transportation Services Administrator

The Transportation Services Event Administrator reports to the Transportation Services Manager. This position supports several front line, customer support programs including parking operation's events program, parking permit sales, the university bus pass program, the student shuttle, bicycle programs and bike locker rentals. The Transportation Services Event Administrator serves as backup to the front line customer service staff and the Commute Options Manager. This position is integral in facilitating Transportation Services role in supporting Western’s strategic plan and Western’s Sustainability Action Plan, including planning and implementing changes, communicating effectively within our Western community, and continually improving and innovating business practices and systems.

Responsibilities

Responsibilities include:

Event Coordinator:

Western holds over 500 events annually on campus that require support from Transportation Services. In relation to campus events, the Transportation Services Events Administrator:

  • Administers parking events from small scale events with a handful of vehicles to campus-wide events, including presidential guests and other dignitaries, prospective students and families, commencement activities, athletic events, and conference attendees.
  • Works with departmental stakeholders to set goals, establish timelines, and manage parking resources. Coordinates with Parking Operations to ensure proper support, appropriate event equipment and staff during parking events.
  • Continuously monitors and evaluates the progression of parking events on campus to ensure optimal execution.
  • Coordinates with the University Police Department and other departments for support and personnel.
  • Ensures accurate department billing for event parking. 

 

Parking Permits:

  • Transportation Services averages more than $1,160,000 in permit sells annually. In relation to parking permits, the Transportation Services Events Administrator:

  • Administers parking permits.
  • Implements parameters for operating the parking permit waitlist, award, and permit process.
  • Reviews parking data to determine specific demand by parking category.
  • Assists with determining lot capacity and permit award parameters.
  • Implements the permit waitlist/award process and the annual, academic, quarterly, and weekly permit awarding process.
  • Transit Passes, Student Shuttle, Bicycle Programs:

    Transportation Services coordinates bus passes with regional transit authorities resulting in approximately 800,000 bus rides annually. In relation to bus pass management, the Transportation Services Events Administrator:

  • Administers distribution of student and employee bus passes.
  • Tracks student and employee bus passes.
  • Submits and reconciles employee bus pass payroll deductions.
  • Coordinates invoicing of contractor-employee bus passes.
  • Troubleshoots bus pass issues.
  • Collaborates with the Western Card Office.
  • Administers the bike locker rental program.
  • Tracks bike locker usage.
  • Collects payments for bike locker rentals and issues/receives bike locker keys

 

Customer Service Support:

  • Transportation Services receives an average of 90 calls, emails, and in-person questions and requests daily. In relation to Transportation Services customer service, the Transportation Services Events Administrator:

  • Provides customers and business partners with superior customer service in-person, remotely, online, via email and phone.
  • Displays professionalism in all interactions.
  • Listens and is responsive to customer needs.
  • Exhibits a positive, engaging, and helpful attitude.
  • Establishes and maintains an effective working relationship with other departments.
  • Manages difficult conversations and situations.
  • Provides Transportation Services Customer Service Representatives next higher-level service for escalated issues or initial resolution for high-profile individuals.
  • Assists with training Transportation Services Customer Service Representatives and provides back-up to Commuting Options Manager and to the Transportation Services Management Analyst.
  • Updates and stocks transportation materials and kiosks. 
  • The StateHR classification for this position is Program Coordinator.

Qualifications

Required Qualifications

  • High school graduate or equivalent
  • One (1) year of experience working in active transportation, commute trip reduction, transportation demand management or related field; urban planning or equivalent education can substitute for work experience
  • Ability to collect and organize data and information
  • Experience working with the public
  • Demonstrated ability to work with diverse populations
  • High level attention to detail
  • Able to work independently with minimal supervision
  • Effective written and verbal communication skills
  • Proficiency using Microsoft Office Suite
