Specialist - Planning

The Planning Specialist works collaboratively with the Facilities Planning and Real Estate staff to manage and organize real estate documents, datasets, processes, and new initiatives. This role also supports Facilities Planning on gathering and presenting information in state submissions, public documents, and communications and various administrative duties. This role reports to the Director and provides representation and support for projects both within and outside of the Operations department.

Responsibilities
  • Utilizes District templates to draft MOU's, leases, and various agreements related to the Real Estate Office.
  • Manages multiple projects simultaneously in a fast-paced environment, consistent with District priorities.
  • Produces public-facing documents and presentations that are concise, accurate, and grammatically correct.
  • Works collaboratively with diverse stakeholders to include District Office and school-based staff.
  • Tracks and maintains project plans and schedules in order to provide regular reports on project status to the team, stakeholders, and district leadership.
  • Completes administrative tasks as needed, particularly in regard to verifying data points, proof-reading, and meeting representation.
  • Develops, implements, monitors, and audits standard operating procedures for the Real Estate Department.
  • Represents the department in various meetings as required. Documents and follows up on important action items and meeting decisions.
  • Prepares necessary correspondence, reports, summaries, documents, and presentation materials for the department area of responsibility producing finished products that that are visually appealing, clear, concise, and grammatically correct.
  • Performs and promotes all activities in compliance with equal employment and non-discrimination policies; follows federal laws, state laws, school board policies and the professional standards.

Qualifications
  • Bachelor's degree in English, Communications, Legal Studies, or a related field. Degree must be from an accredited college or institution.
  • Excellent communication skills, interpersonal skills, and organizational skills to ensure effective coordination and team building throughout Operations
  • Advanced skillset in the use of Microsoft's Excel, Word, and Power Point; and Adobe InDesign and Acrobat.
  • Familiarity with Planning, Design, and Construction projects, datapoints, and functions; and ability to continuously apply this knowledge to different bodies of work
  • Acceptable to learning new programs as needed.
  • Ability to conduct research into project issues as required, and to present ideas in business and user-friendly language.
  • Ability to prioritize and manage multiple projects simultaneously and proven ability to handle numerous priorities at the same time.
  • Ability to apply lessons learned and general information from one project to another, and constantly build up a body of knowledge to draw upon.
  • Strong critical thinking skills and ability to complete tasks with minimal oversight

  • Proficient in the collection, analysis, and reporting of project deliverables
  • Experience with Real Estate contracts, Memorandums of Understanding (MOU's), and various agreements is a plus.
  • Knowledge of City Schools Facilities work, the programs they support, and able to speak on behalf of Facilities Planning and Real Estate at internal and external meetings.
  • Familiarity with and ability to support department databases, document storage and processes.
  • Adaptability to changing deadlines and priorities.
