Contracts & Grants Coordinator

Position Profile:

The Contracts & Grants Coordinator provides professional, customer-service oriented support for our program’s sponsored contracts and grants. Successful candidates will have knowledge, skills, and experience in specialized area of project administration, proposal submission, and financial reporting and forecasts for project managers. The hire will set up processes to streamline the administration of these activities and advise project management about policies and procedures pertinent to decision-making. The hire will also work directly with our sponsors and vendors on revisions, amendments, reporting, and related contract tasks. The coordinator will also work closely with the University’s office of sponsored research which is responsible for compliance, accounts, invoicing, awards, and close-out.

Our program is housed in the largest university-based outreach agency in the nation, the Texas A&M AgriLife Extension System. From there, we advance a mission-driven program working directly with the public and community decision makers. Our projects are supported by state and federal partners, and our program is growing rapidly. We will benefit from a dedicated coordinator to support project administration and financial tracking to keep our projects alive and humming. This position reports to the program director and will work closely with project managers. We are a highly collaborative office and we value the strong relationships we have with our project sponsors. Responsibilities

Responsibilities:

  • Reviews transactions, proposal submissions, award documents and procedures to assure project and administrative compliance with federal and state regulations and internal controls;
  • Works directly with principal investigators on proposal development and management; Reviews proposals for completeness and compliance;
  • Participates and represents program in meetings as needed;
  • Implements procedures, plans and develops operational and administrative procedures and processes, and provides guidance to staff regarding policies and procedures;
  • Works with sponsor for revisions and approvals which include budget revisions, compliance issues, change of Principal Investigator, time extensions, additional funds requests, etc.;
  • Prepares figures and reports for grant reporting requirements;
  • Assists project management staff with budget questions, expenditure projections, and post award concerns;
  • Tracks and forecasts project expenses and salaries; reconciles grant accounts monthly; prepares monthly reports pertaining to costs and forecasts;
  • Develops in coordination with project managers, RFPs, RFQs, and related procurement and sub-contract documentation; ensures compliance with system’s procurement policies;
  • Maintains databases and electronic files;
  • Assists project managers with processing contract invoices;
  • Identifies grant opportunities with project management and staff;
  • Working knowledge of 2CFR200;
  • Educates and guides staff on procurement and contracting policy, compliance, and procedures;
  • Brings strong customer service skills, transparent management of work, and a collaborative, team-oriented attitude.
