Art and Architecture Libraries Coordinator

Nature of Work:

Reporting to the Head of Art and Architecture Libraries, this position supervises operational aspects of the Art and Architecture libraries, which includes supervising hourly desk students, library opening procedures, maintenance and troubleshooting of public computers and equipment (e.g., scanners, copiers, and printers), facilities, and related functions.

The incumbent will work in a dynamic ever-changing work environment as the UMD Libraries roll out new services to meet changing needs of students and researchers. This position will supervise and facilitate the use of technology spanning from printers to specialized equipment loan, and will work with the Head of Art and Architecture to plan, implement, and provide new services. The incumbent will be a part of the planning for these changes and will lead implementation for new services as appropriate, including but not limited to, assisting users with new technology, facilitating events, and planning new spaces.

This position also provides public service at the Art and Architecture Services Desks as appropriate, including communicating library policies and procedures, circulating materials, responding to user information needs, as well as addressing and resolving problems and customer complaints. Provides guidance, instruction, and coordination to other library staff for services such as LibChat. Provides leadership in managing safety and security responsibilities for Art and Architecture during weekday hours. Primarily works Monday-Friday (generally 8:00 AM to 4:00 PM—adjusted when the library opens and closes later or earlier such as winter term, spring break, intersessions, and special events). Due to the nature of the academic calendar, annual leave cannot be used during the two weeks at the start and the two weeks at the end of the fall and spring semesters. Emergencies or other exceptional circumstances will be considered on a case by case basis.

Responsibilities

PHYSICAL DEMANDS:

● Position requires extensive standing, reaching, stooping, bending, and moving objects, such as tables, chairs and loaded book trucks.

● Position requires frequent interaction with library users in person and via phone, email, and online systems.

● Position requires frequent work at a computer.

● Work schedule is subject to change based on the University calendar and staffing needs, including rare evenings and weekends.

● Work in an area with a high level of activity and competing priorities.

● Position requires traveling back and forth between two branch libraries located in buildings across the street from each other.

EDUCATION:

● Bachelor's Degree

EXPERIENCE:

● Two years of experience directly related to the primary duties of the position.

● Experience in or an aptitude to working in a lead or supervisory capacity. KNOWLEDGE, SKILLS, ABILITIES:

● Ability to work effectively with people at all levels within and without the University system; evaluate student assistants and budget requirements; set and adjust priorities and be flexible in order to respond to shifting work demands.

● Ability to plan, organize, prioritize, and execute complicated and continuing assignments independently; to manage office operations and staff.

● Working familiarity or aptitude with both Windows and IOS platform computer workstations and relevant research and circulation software including Aleph (catalog), LibAnswers analytics, or equivalent products.

● Skill in the practical application of office practices, procedures, and equipment;

● Comprehensive knowledge of academic library system standards, policies and procedures related to personnel, collections and services.

● Working knowledge of and facility with a complex library automation system and its functions.

● Excellent interpersonal skills; ability to communicate clearly, and in writing with all persons potentially affected by the scope of the work.

● Strong service orientation; ability to anticipate customer and staff needs and seek ways of providing satisfactory solutions; ability to interact effectively with a diverse staff inside the libraries, with the students, staff and faculty of the University, and with individuals from the greater research community.

● Ability to manage tasks in response to varying time pressures with shifting priorities and changing constraints; demonstrated ability to analyze service pressure related issues, and organize workflow to maximize efficiency.

● Advanced ability to use computer programs including word processing, database, spreadsheet, and presentation software; the ability to help our patrons use these programs.

● Excellent interpersonal skills; ability to communicate clearly, and in writing with all persons potentially affected by the scope of the work.

Preferred

● Experience working in a large academic library setting, with duties and responsibilities for information and/or technology services.

● Comprehensive knowledge of library system standards, policies and procedures related to personnel, collections and services.
